Adding external users (guests) to your Microsoft 365 (formerly Office 365) organization for file sharing and Teams collaboration allows you to collaborate with people outside of your organization while maintaining control over your company's data. Step 1: Enable Guest Access in Microsoft 365 Admin Center

      • Existing guests only (restricts invitations to users who are already part of the organization).

Now that guest access is enabled, you can invite external users to your Teams for collaboration.

    • Alternatively, create a new team by selecting Join or create a team at the bottom of the Teams sidebar and choosing Create team.

    • Click Add member.
    • In the Add members window, enter the email address of the external user.
    • If it's a guest, Teams will automatically recognize that it's an external email and prompt you to add them as a Guest. Click Add.
    • Teams will send an invitation email to the external user with a link to join the team.
  4. Set Guest Permissions (Optional):

    • After adding guests, you can configure permissions for them within the team. Go to the Team Settings (More options > Manage Team > Settings).
    • Under Guest Permissions, you can control what guests can do, such as creating channels, deleting messages, or using other features.

Step 3: Enable Guest Access for File Sharing (OneDrive and SharePoint)

External sharing can be enabled in both OneDrive and SharePoint for file sharing.

  1. Share Files in OneDrive:

    • Open OneDrive and find the file or folder you want to share.
    • Right-click on the item and select Share.
    • In the share dialog box, click Anyone with the link can view/edit (depending on what you want).
    • Enter the external user’s email address and select Send to share the file/folder.
    • The external user will receive an email with a link to the file or folder.
  2. Share Files in SharePoint:

    • Go to your SharePoint site and locate the document library or file you want to share.
    • Select the file and click on the Share button.
    • Choose Anyone with the link, or select a more restrictive option (e.g., People in your organization or Specific people).
    • Enter the external user's email address and click Send.
    • The external user will be invited to access the file through a link.

Step 4: Ensure External User Permissions for Teams Collaboration

Once external users are added to a team, you should ensure that they have the necessary permissions to fully participate in collaboration.

  1. Check the Permissions:

    • Go to the Teams Admin Center (https://admin.teams.microsoft.com).
    • In the left-hand panel, click Teams > Manage teams.
    • Find the relevant team and click on it to open its settings.
    • Review the guest’s permissions, ensuring they can access shared files, participate in channels, and interact with other members.
  2. Set Communication Permissions:

    • In Teams, you can specify whether guests can communicate with others in chats, use direct messages, or participate in meetings.
    • This is controlled by Team settings, which you can adjust by selecting Settings > Member permissions or Guest permissions.

Step 5: External User Experience

Once the external user is invited, they will receive an invitation email. Here’s what they need to do:

  1. Accept the Invitation:

    • The guest will receive an email with a link to join the Team or access the shared file. Clicking the link will direct them to a sign-in page.
    • They may be prompted to create or use an existing Microsoft account to access the shared resources.
  2. Access Shared Files and Teams:

    • Once they accept the invitation, they will be able to access the shared files on OneDrive or SharePoint and participate in the Teams channel.
    • For Teams, they will have access to channels, conversations, and meetings within the team.

Step 6: Managing Guest Access

As an admin or team owner, you can manage guest access as follows:

  1. View Guest Users:

    • In the Microsoft 365 Admin Center, go to Users > Active users.
    • You can filter to view all external users (guests) in your organization.
  2. Remove Guest Access:

    • If you need to remove a guest from a team or a SharePoint site, go to the specific team or site, and select the guest user to remove them.
  3. Modify Guest Permissions:

    • You can always modify what guests can or cannot do by adjusting the permissions in Teams or SharePoint settings.
